What every field means
Every field you fill in when listing a space or stay, in the order the forms show them. Fields marked Required to publish must be filled in before the listing can go through review.
Space details
What your space is and where it is. These fields decide how you show up in search. Step-by-step: List a space →
Where: Business → Spaces → New space, then the Details and Photos tabs
- Business workspace
- Which of your businesses owns this listing. Bookings, notifications and team access follow the business, not the person who created it.Only shown when you manage more than one business.
- Space name
- The name guests see in search and on the listing. Use the name on your door. The web address is made from the first name you save and stays the same after a rename, so links people already shared keep working.
- Space type
- Café, coworking, hotel, rental, coliving or restaurant. It decides where you appear in search and which tabs you get.Cafés, coworking spaces and restaurants get a Menu tab for ordering during a visit. Coworking spaces get a Perks tab; cafés and restaurants can opt in to it.
- DescriptionRequired to publish
- What it's like to work here: the tables, the noise, the light, the best seat for calls. Guests read this before booking.
- LocationRequired to publish
- Search for your address or drop a pin on the map. You never type coordinates. The city is required to publish. An exact pin is recommended — it puts you on the map and helps guests find the door.
- Address
- Street address as a guest would type it into a maps app.
- Neighborhood
- The area people know it by, e.g. "Príncipe Real". Shown on cards and helps guests who search by area.
- Contact email and phone
- How guests reach you. Not shown on your public page — guests see them once they have a confirmed booking or are checked in.At least one way to reach you is recommended before you submit for review.
- Website
- Your own site or booking page, starting with https://.
- Amenities
- Tick what's true every day, not just sometimes. Guests filter search by these, and a wrong tick costs you a review.Quiet for calls means someone can take a video call without apologising for the background.
- Photos and videoRequired to publish
- At least one photo is needed to publish; three or more rank better. Show the actual workspace — desks, sockets, the view from a seat.
Booking settings
Your hours, seats, approval and the passes guests can book. Step-by-step: Hours, seats and passes →
Where: Business → Spaces → a space → Booking settings
- Hours
- Use your business's default hours (set once in Business settings) or custom hours just for this space.Change the business hours and every space using them updates at once.
- Opening hours
- When you're open each day. Guests can only check in while you're open, and a day pass can't be booked for a day you're closed.A closing time earlier than the opening time means you close the next morning (e.g. 18:00–02:00). A day with no hours at all is shown as not listed and never blocks a check-in.
- Time zone
- The zone your hours are in. It decides when you're open, what "today" means for passes, and when a check-in ends.
- Total seats
- How many people can work here at once. Needed for automatic seat counting.
- Take a seat
- When a seat counts as taken: when a pass is booked, when a guest checks in, or never automatically (you update it yourself). When a pass is booked: each pending or confirmed pass holds a seat for every day it covers, and guests can't book a day once it's full. When a guest checks in: a seat is taken on arrival and freed at check-out or when the day ends; bookings aren't limited. I'll update it myself: you type how many seats are free.
- Seats free right now
- Only for "I'll update it myself": the number guests see. In the automatic modes it's counted for you.
- Approve each booking yourself
- On: pass bookings and check-ins arrive as requests you accept or decline. Off: they're confirmed instantly.A declined request owes nothing. Guests are told either way.
- Currency
- The currency your pass prices are in. Guests see prices in it and pay you at the venue.
- Passes guests book
- The ways guests can book you: a day, several days, a week (7 days) or a month (30 days). Switch on at least one or the space can't be booked.Every price is a rate per day: a pass costs that rate for each day it covers. The day pass is the starting price guests see. Guests book first and check in on the day from their booking.
- Up to (days)
- The longest multi-day pass a guest can pick, in days.
Cancellation and no-show terms
What a guest owes if they cancel late or don't come. Fees are recorded on the booking and paid at the venue. Step-by-step: Cancellation and no-show terms →
Where: Booking settings (per pass type) and a stay's Details tab
- Set my own terms
- Off: the Zenvivas standard policy — free cancellation right up to the start, no no-show fee. On: your own terms below.Every booking keeps a copy of the terms it was made under, so changing them later never affects existing bookings.
- Free cancellation until
- How long before the start a guest can still cancel for free. A pass starts at midnight on its first day (venue time); a stay starts at its check-in time.
- Late cancellation fee
- The share of the price owed to you when a guest cancels after the free window. Recorded on the booking and paid at the venue.
- No-show fee
- The share of the price owed when the guest doesn't turn up on the first day. You mark a no-show from the booking once that day has passed.
- Let guests ask to move their dates
- Passes only. After missing the first day, the guest can ask to move the pass within the number of days you set. You approve or decline.
- Let guests pause a monthly pass
- Monthly passes only. The guest can pause for up to the number of days you set in total; each paused day moves the end date back a day.
